Clubroad — Privacy Policy

Last updated: 14 October 2026

This Privacy Policy explains how Clubroad collects, uses, and protects personal information when you use our website (clubroad.net) and our enquiry service. It also explains your rights under the EU General Data Protection Regulation (GDPR) and equivalent data-protection laws.

1. Who we are

Clubroad is operated by Nicolas Reuland Sports Consulting & Management, registered and based in Luxembourg and trading as "Clubroad". For the purposes of data-protection law, we are the "data controller" for the personal data described in this policy.

If you have any questions about this policy or how we handle your data, contact us at team@clubroad.net.

2. What personal data we collect

When you submit an enquiry through our website, we collect the information you provide in the form, which may include:

  • The player's full name, gender, and date of birth

  • The player's nationality

  • The player's playing position(s), current club, and level

  • A link to highlight or video material (if you choose to share one)

  • Details of what you are looking for (goals, preferred programme duration, preferred region)

  • A contact email address and, optionally, a phone number

  • Where the player is under 18, the name of a parent or guardian

  • Any additional information you include in the message field

We also automatically collect limited technical information when you use the site, such as the page you submitted from, the date and time of submission, and basic browser information. Our website host (Framer) and any analytics or cookie tools we use may also process standard technical data — see Section 9.

3. Information about children

Our service is aimed at families and players, and we knowingly process information about minors (players under 18). We take this seriously.

Where a player is under 18, the enquiry should be submitted by, or with the knowledge and consent of, a parent or legal guardian, and we ask for a parent/guardian name for this reason. We only use a minor's information for the purpose of advising on and arranging suitable football programmes, as described below. A parent or guardian may contact us at any time to access, correct, or delete a child's information.

If you believe a child's data has been submitted to us without appropriate parental consent, contact us at team@clubroad.net and we will delete it promptly.

4. How and why we use your data, and our legal basis

We use your personal data to:

  • Respond to your enquiry and recommend suitable programmes — assessing the player's profile and goals to identify official academy programmes at professional clubs that may be a good fit. Legal basis: your consent, and our legitimate interest in providing the service you requested.

  • Introduce you to a club — where you wish to proceed, sharing relevant details with the chosen club's academy team so they can contact you about enrolment. Legal basis: your consent.

  • Communicate with you — sending a confirmation, recommendations, and follow-up relating to your enquiry. Legal basis: your consent and our legitimate interest in following up on enquiries.

  • Improve and operate our service — understanding how our site is used and keeping it secure. Legal basis: our legitimate interest in running and improving the service.

We do not sell your personal data, and we do not use it for unrelated advertising.

5. Who we share your data with

  • Football clubs and their academy programmes. When you ask us to introduce you to a specific programme, or agree that we should, we share the relevant player and contact details with that club so they can follow up with you directly. Once shared, the club processes your data as its own controller, under its own privacy terms. We only make an introduction with your go-ahead.

  • Service providers. We use trusted third parties to run our service — for example our website host (Framer), our automation tool (Make), our database/CRM (Airtable), and our email provider (Google Workspace). These providers process data on our behalf under appropriate agreements.

  • Legal and safety reasons. We may disclose data where required by law, or to protect our rights, safety, or the safety of others.

6. International transfers

The clubs and programmes we work with, and some of our service providers, may be located in different countries, including outside the European Economic Area (EEA). Where we transfer your data internationally, we take steps to ensure it is protected in line with applicable data-protection law (for example, relying on adequacy decisions or standard contractual clauses where required). When we introduce you to a club in another country at your request, that transfer is made on the basis of your consent.

7. How long we keep your data

We keep enquiry data for as long as needed to provide the service and follow up on your enquiry, and for a reasonable period afterwards for our legitimate business and record-keeping purposes. If your enquiry does not proceed, we will delete or anonymise your data once it is no longer needed. You can ask us to delete your data sooner at any time (see Section 8).

8. Your rights

Under the GDPR, you have the right to:

  • access the personal data we hold about you;

  • have inaccurate data corrected;

  • have your data erased ("right to be forgotten");

  • restrict or object to our processing of your data;

  • data portability (receive your data in a portable format);

  • withdraw consent at any time, where we rely on consent (this does not affect processing already carried out); and

  • lodge a complaint with your local data-protection supervisory authority.

To exercise any of these rights, email team@clubroad.net. We will respond within the timeframes required by law (generally within one month). Where you are acting on behalf of a minor as their parent or guardian, you may exercise these rights for them.

9. Cookies and analytics

Our website may use cookies and similar technologies that are necessary for the site to function and, where applicable, to understand how the site is used. Some cookies are set by our website platform. Where required by law, we will ask for your consent to non-essential cookies. You can control cookies through your browser settings.

10. How we protect your data

We take reasonable technical and organisational measures to protect your personal data against loss, misuse, and unauthorised access. No method of transmission or storage is completely secure, but we work to keep your information safe and to limit access to those who need it to provide the service.

11. Changes to this policy

We may update this policy from time to time. When we do, we will change the "Last updated" date above, and significant changes will be reflected on this page. Please review it periodically.
